This case study shows how applying a FinOps‑aligned workflow — even without technical integrations — can transform the way a project feels for everyone involved.

The Client Challenge

Client A was preparing a new website build and needed:

  • predictable sprint‑level pricing
  • clear visibility of costs
  • a structured way to track time
  • a calm, supportive financial experience
  • transparency across discovery, build, QA, testing, and go‑live phases

The FinOps Approach

1. Mapping Jira Tasks into Xero Projects (Manually, Not Automatically)

FinOps doesn’t require integrations — it requires alignment.

Each Jira issue was mirrored inside Xero Projects as a FinOps task unit:

  • Discovery & Architecture
  • Sprint 1 – Build
  • Sprint 2 – QA
  • Integration Testing
  • Go‑Live

This created a shared language between operations and finance.

2. Predictable Pricing for Each Phase

Every task was priced at a fixed £150 unit. This meant Client A always knew what each sprint phase would cost — no surprises, no stress.

3. Real‑Time Cost Visibility

Inside Xero Projects, we tracked:

  • 10 hours of delivery
  • £75/hour internal cost rate
  • £750 total cost to deliver

This gave the client full transparency into how effort translated into cost.

4. Calm, Branded Financial Communication

The invoice (INV‑0046) was issued using a FinOps‑branded template:

  • clear task descriptions
  • predictable pricing
  • supportive payment terms
  • Ledger&Light’s calm visual identity

5. Profitability & Margin Tracking

Once the invoice was approved and linked to the project, Xero Projects surfaced:

  • Invoiced (net): £1,500
  • Costs: £750
  • Profit: £750
  • Margin: 50%

This gave Client A a clear, real‑time view of project performance.

Client A gained:
